Records Management
– Sharepoint has most of the necessary features on Records Management. Notable features -
– Record Retention and Disposal
– Litigation Holds: Holds policy and exempt document from expiration policy
– Physical Records Management – Bar Code Generation
– Disadvantages in a much longer run or for very large corporations – Scalability and Maintenance issue for large set of documents because Documents are stored in DB.
Image Management
– Sharepoint is FAR behind in Image Management. All of the features have to be achieved by 3rd party tools.
– Scanning (3rd party product: knowledgelake.com), Optical Character Recognition (3rd party product: websio.com) and Image Enhancement (not even supported in Sharepoint).
Auditing
– Sharepoint provides most of the features in Auditing, except for one. Notable features -
– Supported: Automatic event logging; Item level event logging.
– Supported: Content activity reports; Custom reports; Information Management policy reports; Security and Site Settings reports; XML Reporting.
– Only caveat – Custom Auditing can be done by customizing the code.
Workflow
– Sharepoint provides most of the features in Workflow, except for few. Notable features –
– Only Documents as workflow attachments is supported; Folders and Compound documents are not supported as attachments in workflow.
– All kinds of workflow configuration and notification can be done, except for one. Parallel Workflow is not supported.
